About our Rental Program....
Our goal is to have our rental guests enjoy their visit to Bear Valley and return to stay with us time and time again. Since Bear Valley is such a unique place and some operations are not what you would find in other ski areas, we have provided the following information so you can fully understand how our program works.
Rental condos are accessible by car year-round. You will want to keep this in mind when considering a reservation with us. Carry tire chains with you when coming to Bear Valley as chain controls are often enforced. In addition, it can be very helpful to carry a shovel to dig your car out of its parking space after a storm.
In the winter, once the snow has arrived, the roads in the subdivision, where all rental homes are located, become ski runs and are closed to automobile traffic. As a courtesy, Bear Valley Real Estate provides one time per stay only, prearranged round-trip transport via snowmobile carriage as follows:
Upon check-in: from loading area to your cabin with entire party and luggage.
Upon check-out: to the unloading area with entire party and luggage.
Guests using this service must prearrange a set pick up time at least 24 hours in advance! Guests must help in transporting their luggage and must arrive and depart together at the same scheduled time. Failure to prearrange pick up times may result in a $45 fee, or lack of available transportation. All other transportation is the guests' responsibility. We recommend renting a snowmobile (209 753-2323) during your stay for most homes.
Reservations
Once a reservation has been made, you will be sent a Rental Agreement which must be signed and returned in order for your reservation to be confirmed. If you do not sign and return the confirmation, your reservation may be cancelled and you will be charged according to the cancellation policy.
Payment
Payment for your reservation is due 21 days before your check-in date. When you make the reservation we ask for a Visa or MasterCard number which we will keep on file. This card will be charged 21 days prior to check-in.
Security Deposit: $300. and $500. depending on property
Your credit card guarantees the security deposit, which is a cleaning and damage deposit on the unit you have rented. Please report any problems with your rental property upon check in. As a guest you are responsible for all damages to the unit including those that may exceed the security deposit. We prohibit pets and smoking in all units. Evidence of either will cause automatic loss of the security deposit plus any additional charge for cleaning that may be required. We have a responsibility to our property owners to minimize costs and damage associated with offering their property to paying guests. Please remember that you have been welcomed into someone's home.
Check-in: 4:00 PM (flexible for winter cabin rentals)
Keys must be picked up at our office upon check-in and returned to our office upon check-out.
Check-in is at the Bear Valley Real Estate office, located in the Commercial Center across from the Sport Shop. If you will be arriving after 5 PM and we are closed, you may pick up your check-in packet in the wooden box outside our front door.
Check-out: 11:00 AM (flexible for winter cabin rentals)
Please be out of your rental property by 11am. If you have not arranged and let check out and have not left the unit between the hours of 11 AM and 2 PM without the courtesy of a prior arrangement, you will be charged for a half day rate. After 2 PM, you will be charged for another full night rental. In some cases we can arrange for a late check out without extra charges.
Cancellations
No refunds will be given due to weather, early departures or last minute cancellations.
Charges are as follows:
Notice of 21 or more days before reservation begins. $50.
Notice of 20 to 8 days before reservation begins $security deposit (unless rebooked)
Notice of 7 days or less before reservation begins $full rent (unless rebooked)
Guest Information
All of our homes and condos are privately owned. They are furnished with:
pillows, blankets & mattress pads
fully equipped kitchens
tv with vcr and/or dvd
paper towels/facial tissue/ toilet tissue/soap & household cleaning products
linens-sheets and towels
There is a required cleaning charge for all properties. All prices are posted on our page showing rates.
If the property is missing any of the above upon your arrival, please let the office know so that we can replace missing items.
Things you should bring with you
Winter time
snow shovel
tire chains
flashlight
sun block and sunglasses or goggles
upon arrival you should be wearing weather appropriate clothing-i.e. snow boots, snow pants, gloves, hat and jacket-especially if we are transporting you to a cabin via snowmobile. Layering clothing is a good idea for this area as temperatures change rapidly.
Any food, beverages, and personal toiletries you may need
Terms and Conditions
Bear Valley Real Estate will not be responsible for weather conditions, emergency situations or the failure of utility services such as phone, gas, cable or power. Please be aware that a few rental properties do not have alternative heat sources in case of power failure.
Bear Valley Real Estate reserves the right to substitute or cancel rental units for any reason. We also reserve the right to refuse service to anyone and is not responsible for accidents or injury to guests, or lost or stolen items.
Bear Valley Real Estate staff provides personal service seven days a week from 9AM to 5PM. Please call us with any questions! We also employ a 24 hour answering service in the event of an after hours emergency.
